Privacy
Privacy Policy · effective October 23, 2026Checkerd is an NFC check-in service operated by MVella Studios (“Checkerd,” “we,” “us”). This policy explains what we collect when you use checkerd.com, check in to an organization that uses Checkerd, or work as one of its officers, and what we do with it.
The short version
- Your organization decides what its check-in form asks. We store your answers and your check-ins so the organization can see who came.
- We don't sell your data, show ads, or use tracking cookies.
- Data is kept while your organization uses Checkerd and deleted within 30 days after it leaves.
- To see, fix or delete your data, ask your organization or email [email protected].
Who is responsible for what
When you register with an organization (a club, chapter or campus group), that organization decides which questions are asked and what the answers are used for. Checkerd processes that data on the organization's behalf, as its service provider. For the marketing site and pilot requests, Checkerd decides how data is used.
What we collect
- Registration answers. Your first and last name, phone number or email (whichever your organization uses for sign-in), and any other questions your organization adds, such as graduation year.
- Check-ins. Which tag you tapped, which event it was for, and when.
- A device token. A random code saved in your phone's browser so the next tap is one step. We store only a scrambled (hashed) version of it.
- Wallet cards, if you add one. Your name and when you joined, placed on an Apple Wallet or Google Wallet card.
- Officer accounts. Name, email, a hashed password and, if turned on, an encrypted two-factor sign-in secret.
- Pilot requests. What you send through the request form, plus a one-way hash of your IP address used only to block spam.
- Technical data. Your IP address and browser details pass through our hosting providers to deliver pages and stop abuse (for example, rate limiting). We don't use them to profile you.
Organizations should not use Checkerd to collect sensitive information such as Social Security numbers, financial account numbers, or health information.
How we use it
- To check you in, prevent double counting, and show your organization's officers attendance, member lists and streaks.
- To copy each check-in into your organization's own Google Form and Sheet, when the organization has set that up.
- To create Wallet member cards when you ask for one.
- To send officers sign-in, invite and password emails, and to reply to pilot requests.
- To keep the service secure, fix problems and prevent abuse.
Who can see it
- Your organization's officers, each through their own login. Member data is only reachable through our server, never directly from the browser.
- Your organization's Google Form and Sheet, if it uses one. Once there, the organization and Google's terms control it.
- Service providers that run Checkerd for us: Cloudflare (hosting and database), Vercel (website hosting), Resend (email), and Apple and Google (Wallet cards, only if you add one). They may only use data to provide their service to us.
- Legal reasons. If the law requires it, or to protect people's safety or our rights.
We don't sell or rent personal information, and we don't share it for advertising.
Cookies and local storage
The marketing site uses no advertising or analytics cookies. Officers get one sign-in cookie for the dashboard. The check-in page stores your device token in your phone's browser storage so it remembers you; clearing your browser data removes it, and you can sign in again with your phone number or email.
How long we keep it
Member and check-in data is kept while your organization uses Checkerd. When an organization cancels, we offer its owners an export and then delete its data within 30 days. Pilot requests are kept for as long as we need to follow up, and deleted on request. Copies already in an organization's Google Sheet are controlled by that organization.
Your choices
You can ask to see, correct or delete your data. Contact your organization's officers, or email [email protected] and tell us which organization you checked in with. We may need to confirm it's you, and we'll respond within 30 days. Deleting your data from Checkerd doesn't remove rows already copied into your organization's Google Sheet; ask the organization for that.
Security
Data is encrypted in transit. Device tokens and passwords are stored only as hashes, two-factor secrets are encrypted, lookups are rate limited, and officer accounts are invite-only. No system is perfectly secure; if a breach affects your data, we'll notify your organization and, where the law requires, you.
Children
Checkerd is not meant for children under 13, and we don't knowingly collect their information. Organizations whose members are under 18 are responsible for getting any permission the law or their institution requires.
Changes and contact
If we change this policy, we'll update the date above and, for significant changes, tell organizations by email. Questions: [email protected], MVella Studios, Florida.
